In short
If a company invited you to a Candfit interview, an AI interviewer asks you job-related questions in a recorded Microsoft Teams call. Candfit compares your Resume/CV and your answers with the job and recommends next steps, and a person at the hiring company makes every decision. You can ask questions, get a copy of your data or ask for it to be deleted, and you can choose not to take part.
Who's responsible
The company that invited you to interview (the "hiring company") decides why and how your information is used in its hiring. It's the controller of your data. Candfit, operated by Candfit LLC, runs the interview and the assessment on the hiring company's behalf, as its processor or service provider.
If the hiring company is a staffing or recruiting firm, it may be hiring for one of its own clients and may share your assessment with that client.
For questions or requests about your data, contact the hiring company first, for example by replying to your invitation email. You can also write to us at info@candfit.com, and we'll help.
How Candfit is used
- Resume/CV screening. Candfit compares your Resume/CV with the job description and produces a score, with notes on how your experience matches each requirement. Recruiters use it to decide who to invite. [Product and counsel to confirm, and describe here, how a person reviews applications that score below the hiring company's bar.]
- Invitation and booking. You receive an email with a personal link to book, change or cancel your interview. The email tells you that AI assists with the interview and that it's recorded.
- The interview. An AI interviewer asks questions written from the job description, with a follow-up on each answer, in a Microsoft Teams call lasting 15 to 90 minutes. The call is recorded: the audio, the video if your camera is on, and a written transcript. A recruiter may follow the transcript live or join the call.
- The assessment. After the call, Candfit rates each answer against what a strong answer looks like at the role's level, and produces an overall score, a recommendation (Pass, Borderline or Fail), and notes on strengths and concerns.
- English fluency, only if the role requires it. A Microsoft speech service scores your spoken English for fluency, pronunciation and rhythm. These scores are informational and never decide anything on their own.
- The decision. A person at the hiring company reviews the assessment, can play the recording, and decides. The AI never makes the final decision.
What AI does, and what it never does
AI writes the interview questions from the job description, holds the conversation, writes the transcript and suggests scores. It never:
- makes the final hiring decision
- assesses your accent, where you're from, or whether English is your first language
- analyzes your face, expressions, emotions or surroundings
- scores your personality
- pretends to be a person. If you ask, the interviewer says it's an AI.
Candfit doesn't use your interview to train AI models. [Confirm before publishing that each AI provider's settings match this.]

We don't ask for your phone number, and we don't ask for sensitive information such as your health, religion or ethnicity. Please leave it out of your Resume/CV and your answers.
Why it's used
- To assess your application for the role on the hiring company's behalf, based on its legitimate interest in recruiting, or on steps taken at your request before a possible employment contract.
- To schedule your interview and send you messages about it.
- To check and improve the quality of interviews and assessments, for example by reviewing an interview where something went wrong. Your invitation email calls this quality assurance and quality improvement.
- To keep the service secure and to meet legal obligations.
[Counsel to confirm the legal bases, including whether consent is needed anywhere.]
Who sees it
- The hiring company's recruiting team and the people involved in the hire.
- If the hiring company is a recruiting firm, the client it's hiring for, when it shares your assessment.
- Candfit staff, only as needed to run, support and secure the service.
- Service providers that process data for us under contract: Microsoft (Teams meetings, email, the English fluency service and cloud storage), ElevenLabs (the voice service that runs the interview conversation), Anthropic (the AI models that write the questions and suggest scores), and our cloud hosting provider, which runs the Candfit platform [in which country or region].
We never sell your information or use it for advertising.
How long it's kept
- Recordings (audio and video): deleted [12 months] after the interview.
- Transcripts, scores, notes and the decision: kept as the record of the hiring decision for 2 years, unless you ask for deletion and no legal reason requires keeping them.
- Your Resume/CV and application: kept for 2 years.
[Align these with the retention settings configured for each client.]
Your rights and choices
- Ask for a copy of your information, or ask for it to be corrected or deleted.
- Ask for a person to review how your application was assessed, give your point of view, and challenge the outcome.
- Object to or restrict some uses of your information.
- Choose not to have an AI interview. Tell the hiring company before you book, or end the call at any point and reply to your invitation email. Whether another format is offered is up to the hiring company.
- Complain to a data protection authority, if you're in the European Economic Area or the United Kingdom.
To make a request, contact the hiring company by replying to your invitation email, or write to info@candfit.com. We'll pass your request to the hiring company and help it respond.
Location-specific information
[Counsel to review before publishing. Requirements may include:]
- Illinois: where Illinois' Artificial Intelligence Video Interview Act applies, the hiring company must tell you that AI is used, explain how it works and what it evaluates, and get your consent before the interview. It must limit who sees the video and delete it if you ask.
- New York City: for jobs in New York City, the hiring company must give notice before using an automated employment decision tool and publish a summary of a recent independent bias audit.
- Colorado, California and other states: laws on AI in employment decisions may require further notices or give you further rights.
- European Union and United Kingdom: you have the GDPR rights described above, including the right not to be subject to a decision based solely on automated processing. AI used in recruitment is treated as high-risk under the EU AI Act.
